Requesting Rooms

Click here to request a Library Room or Check Room Availability in the Event Management System (http://events.ship.edu)

It is expected that requests for library rooms will be for either single-reservation or short-term recurring reservations. Unfortunately, we cannot usually approve excessive blocks of time or extensive/semester-long recurrences. 

Directions for submitting a room reservation request in EMS:

  • Click on the upper right where it says "Welcome, Guest" to login.
  • Click "book now" next to the Ezra Lehman Library reservation template
  • Read the notes and click "Next step"
  • Select the date and time that you wish to request and click "Search"
  • You will be able to see the available spaces and whether they have already been booked for that day/time. 
  • Click the green plus (+) sign next to the room that you would like to reserve.
  • Enter the estimated number of attendees, the setup type and click "Add room or space"
  • Click "Next Step"
  • Select any extra equipment or support needed.
  • Click "Next step"
  • Enter the details about the event and click "Create Reservation"
  • You will receive email confirmation when you reservation request has been approved by Library Staff.

  • Please note: Rooms are scheduled on first come, first serve basis.
  • Library rooms are not reserved until you have recieved a positive confirmation from library staff.

Special information about videoconferencing rooms:

  • If a videoconferencing room appears unavailable in EMS, and is needed for videoconferencing, contact the Cindy Zeger, ext. 1466.
  • Room support is provided through Media Services, extension 1647 or 1646.
  • Training on use of rooms is available through Instructional Development and Web Services, extension 3439; or through Media Services, extension 1646.
  • Room systems are left on, in the sleep mode.
  • Multi-point (more than two sites) videoconference calls need to be reserved and placed through the NOC (Dixon) bridge.  Below is the URL to the bridge reservation form.  Do not click the link below, but copy and paste it directly into a browser.  (http://tinyurl.com/8woqwal)

Special training is required to use equipment in rooms 204 and 205 for videoconferencing.  Please allow 5 business days notice for requests requiring videoconferencing.  The room reservation process is not completed until approval is received.

Room 106 - Library Conference Room

LL106 Conference Room

Capacity: 35 seats 
Equipment: Smart Cart with Projector and Screen; White-board; Speaker-phone.

This room may be reserved by faculty, staff, and administration only.

Official student groups (or groups of students sponsored by a faculty member) may also reserve this room after 5:30 p.m. for no more than 1.5 hours (repeating, once per week) or 2 hours (single booking).

LL112

Room 112 - Library Computer Lab

LL112 Computer Lab/Classroom
Capacity: 40 seats 
Equipment: 38 desktop computers. Smart cart with Projector and Screen.

This room may be reserved by faculty, staff, and administration only. Priority is given to library instruction sessions.

Reserve the Library One-Touch Recording Studio

LL120 Recording Studio / Group Study Room
Capacity: 6 seats
Equipment: 1 recording studio podium configuration

This room may be reserved by students, faculty, staff, and administration.

  • LL120 can ONLY be reserved for recording studio use
  • LL120 may be used as a study room *when not reserved for recording studio use*
  • Recording studio reservations must be made at least 24 hours before reservation time. 
  • Students using LL120 as a study room must vacate for recording studio reservations

Please be considerate of others, this is the only one-touch recording studio available on campus; individuals wishing to practice or record presentations in LL120 may reserve the room for up to 2 hrs per day. Reservations are available Monday thru Friday. Technical Support is available through Media Services x1646.

LL120 is the library one-touch recording studio. Individuals can easily record a video of a presentation to a USB drive. The default option is plug in a thumb drive, click record, perform a presentation, click done, and remove the USB drive. The Advanced options include various screen layouts and the ability to switch between layouts during a recording session. 

When the one-touch studio is not reserved for recording LL120 can be used as a first-come, first-served individual study room. However, an individual must vacate the room for reserved one-touch studio recording sessions.

Individual Study Room LL 202

Capacity: 1
Room Set-Up: 1 chair. Desk space.
Equipment: electrical access

This room may be reserved by students, faculty, staff, and administration.

This small room can be reserved in events.ship.edu. It can be used by one person only. Use requests may be denied if the frequency is so excessive that it overly limits availability of the room to others on campus.

Lactation Room / Prayer Room  LL 203

Capacity: 1
Room Set-Up: 1 chair. Desk space.
Equipment: Locked mini-refrigerator. electrical access. lamp.

This room may be reserved by students, faculty, staff, and administration.

This room can be reserved in events.ship.edu. It can be used by one person only.

This room is for use exclusively for lactation or prayer. It is not a study room and cannot be reserved for individual study use. 

Use requests may be denied if the frequency is so excessive that it overly limits availability of the room to others on campus.

Library Videoconferencing Room LL 204

Capacity: 8-10
Room Set-Up: Conference Table, seating up to 10

This room may be reserved by students, faculty, staff, and administration.
Equipment: Polycon HDX 7000 HD Codec with single front Polycom Eagleye HD camera; Front 55" flatscreen video display monitor; Front 55" flatscreen graphics (content) monitor; Ceiling mounted microphone; Input for Laptop computer; Polycom handheld remote for control of system.

 

Library Videoconferencing Room LL 205

Capacity: 50
Room Set-Up: 48 student seats - 1 presentation station

This room may be reserved by faculty, staff, and administration only.
Equipment: Polycon HDX 8000 Codec with front & rear Polycom Eagleye HD cameras; 80" front & rear video displays; 87" diagonal Smart electronic board for graphics; 20 push-to-talk microphones; Built-in PC tower; Inputs for Laptop, HDMI, and composite video; Touch panel control; and Optional output for Mediasite recorder.

 

Reserve the Library Plaza, East or West 

The Library Plaza East is the Library Plaza (50 max) space in front of Lehman Library. When facing the library, this location is to the right of the main doors in front of Starbucks. If you indicate you need a table and chairs (4 max) please contact staff at the Lehman Library Circulation Desk the day of your event. You are responsible for setting up and tearing down the table and chairs. Be sure to return them to the Lehman Library Circulation Desk when your event is over.

 

The Library Plaza West is the Library Plaza (50 max) space in front of Lehman Library. When facing the library, this location is to the left of the main doors. This location provides the optional use of electric. If you indicate you need a table and chairs (4 max) please contact staff at the Lehman Library Circulation Desk the day of your event. You are responsible for setting up and tearing down the table and chairs. Be sure to return them to the Lehman Library Circulation Desk when your event is over.
